Meeting in person is a golden opportunity to understand your customers. But how do you turn those meetings into a “stepping stone” for a successful deal? Let’s explore the following active listening techniques:

  • Face them and make eye contact: Look your customer straight in the eye to show your respect and interest. Don’t let your gaze wander to your phone or computer screen, as that only makes them feel brushed aside.
  • Turn off all notifications: Silence your phone and mute computer notifications so you can focus completely on the conversation. Distraction will cause you to miss important information from your customer.
  • Ask smart questions: Don’t just listen passively. Ask open-ended questions to dig deeper into your customer’s needs and wants. Avoid vague questions that don’t get to the point.
  • Confirm the information: After your customer shares, summarize what you understood to make sure there’s no misunderstanding. This helps you grasp the issue accurately and offer a fitting solution.
  • Listen patiently: Don’t rush to offer a solution before you fully understand the problem. Hear out everything your customer shares, even things that seem unrelated. Your patience will be rewarded.

Selling over the phone is never easy, but if you know how to listen actively, you can absolutely “read the mind” of your customer from a distance. Let’s explore these techniques:

  • Create a quiet space: Find a quiet spot away from noise and interruptions. Turn off your personal phone ringer, message alerts, and any other distracting apps. If possible, use a headset to focus better.
  • Focus on the conversation: Give your customer your full attention. Don’t let other thoughts creep in or browse the web while you’re talking. Listen to every word, their tone of voice, and their emotions.
  • Take careful notes: Don’t just listen, write down key information such as your customer’s needs, wants, and difficulties. This helps you understand the issue comprehensively and offer a fitting solution.
  • Confirm the information: After your customer shares, repeat what you heard in their own words. This not only lets you double-check the information, it also shows your care and respect for them.
  • Be confident and proactive: Don’t hesitate to ask questions if you’re unsure what your customer means. Your initiative and confidence will make a good impression and help the conversation go more smoothly.

Via Email/Messages

Think listening only applies to face-to-face conversations? Think again! Even over email or messages, you can still “read” your customer and make a professional impression if you know how to listen actively.

  • Read every word carefully: Don’t rush through your customer’s email or message. Read each sentence and each word closely, paying attention to even the smallest details. Sometimes a single word or punctuation mark can reveal a lot about their mood and wishes.
  • Confirm the information: After reading, summarize what you understood in your own words, or ask your customer to explain further if needed. This helps you be sure you’ve captured their needs and wants correctly.
  • Don’t rush your reply: Take the time to read the email or message at least 2-3 times before responding. Hurrying can cause you to overlook important information or misread what your customer means.
  • Be transparent about response time: If you can’t reply right away, let your customer know when you’ll give a full response. This shows your professionalism and respect for their time.

“Scoring Top Marks” With Customers Using the A+ Principle

To become a customer care expert, think of yourself as an artist and your customer as a tough judge. Don’t stop at “meeting requirements” (an A), always aim for perfection (an A+).

Imagine you’re meeting a customer at a well-known restaurant. Instead of just sending the restaurant’s name, proactively book a table in advance and provide full contact details and a specific time. This saves them time, avoids the risk of a fully booked restaurant, and makes sure they find the right place.

The A+ principle doesn’t apply only in this case. Always look for ways to do a little better and go beyond your customer’s expectations. It could be a sincere thank-you, a small surprise gift, or simply genuine care and attentive listening.

When you consistently aim for an A+, customers will sense your dedication and professionalism. They’ll become loyal “fans,” ready to recommend you to others and come back to use your services in the future.
